Hillsboro Downtown Partnership works to cultivate and amplify a vibrant Downtown Hillsboro community. Our team supports local businesses, community events, beautification efforts, outreach, and the everyday work that helps Downtown Hillsboro continue to grow as a welcoming and active place for everyone.
We are a small, collaborative team, and our administrative staff help hold the foundation of the organization together so the rest of the team can build quickly and efficiently. The Organizational Assistant, also known as our Welcome Desk position, plays a key role in keeping our office organized, supporting coworkers, assisting community members, and creating a warm first impression for visitors, businesses, volunteers, and partners.
The Organizational Assistant is often the first person people meet when they connect with Hillsboro Downtown Partnership. This position is a mix of customer service, scheduling, database management, and general team support.
This can be an entry-level position. Experience is welcome, but not required. We are looking for someone who is organized, dependable, eager to learn, friendly with the public, and excited about supporting Downtown Hillsboro.

This position helps create a welcoming experience for the public, businesses, volunteers, and community partners. Duties may include:
Answering the phone
Monitoring voicemail, email, direct messages, and social media responses
Responding to inquiries or forwarding them to the appropriate team member
Greeting visitors
Operating point-of-sale systems
Handling money accurately and responsibly
The Organizational Assistant helps keep the team organized and on track. Duties may include:
Scheduling meetings for coworkers and volunteer teams
Managing online calendars
Coordinating room and space scheduling
Designing and scheduling social media posts
HDP works with many people, businesses, partners, and volunteers. This position helps keep contact information and records organized. Duties may include:
Data entry
Updating and maintaining contact records
Syncing information with other platforms
Creating reports
The Organizational Assistant supports the day-to-day needs of the organization and helps coworkers complete projects successfully. Duties may include:
Data entry in multiple programs
Digital and paper file organization
Assisting with safety and sustainability initiatives
Tracking inventory of office supplies, equipment, and merchandise
Supporting meetings and special events
Keeping the office interior clean and tidy
Merchandising retail products
Providing support to volunteers as needed

The following are helpful but not required:
Ability to communicate effectively in Spanish, orally or through an auxiliary aid, and in writing
Experience with Microsoft Word, Excel, or Publisher
Experience with social media management
Experience with Google Drive, Docs, Sheets, or Forms
Experience with databases, calendars, scheduling tools, or social media platforms
Ability to understand and follow procedures, policies, and regulations
A valid Oregon driver’s license and clean driving record
Ability to flex communication style across multiple cultural environments
Candidates who are eager to learn will receive strong consideration.
This position involves light physical activity during most shifts, including sitting, standing, and general office movement. Some work may occasionally take place outdoors or off-site in Downtown Hillsboro. The position may occasionally involve walking up to two miles in a day and traveling locally for meetings, events, or HDP activities.
Most work will take place at the Downtown HIVE, located at 233 SE Washington St., Hillsboro, OR.
This position is expected to work 30–35 hours per week. Hours may increase depending on organizational demand and funding. The schedule will mostly consist of daytime weekday shifts, with occasional evening, weekend and holiday work. The supervisor will work with the selected candidate to create a schedule that meets both the needs of the organization and the employee.
Starting pay: $18/hour
Accrued sick leave: 1 hour for every 30 hours worked
PTO: 1 hour for every 12 hours worked
